Need A Better Solution For Email Encryption So You Can Meet HIPAA Guidelines
The Health Projects Center (HPC) in Santa Cruz, California was established in 1980 as a 503(c) non-profit organization. They address the health and human needs of individuals, families, and communities of California's Central Coast by developing and implementing high-quality programs and strategies. They also offer health-related and social programs to health professionals, older adults, and family caregivers. CHALLENGES It's especially important that HPC's data remains secure and encrypted so they can comply with HIPAA guidelines. The way they were handing data wasn't reliable so they contacted TOTLCOM for assistance. OUR STRATEGY HPC needed an encrypted email solution that would reduce their overall operating budget. We worked with Microsoft to obtain a non-profit license for Microsoft Office 365. Providing clear advice and leveraging the Microsoft Office 365 nonprofit offering allowed us to reduce their costs with a robust HIPAA-compliant email solution. We migrated their data over to the solution and trained their staff on how to use it. Along with this, HPC needed new computers and software. We also implemented Microsoft Azure Active Directory online and Data Loss Prevention. We improved their network stability and worked with the management team to highlight the best technology to deliver services to their clients. In addition, we consistently provided training and information on how to reduce exposure to phishing and security attacks. Mitch Matthews, HPC's Associate Director, explains: "We had an old system that needed updating, along with data encryption to comply with HIPAA. TOTLCOM had to handle many duties at once including providing virus protection, standard updates and any technical difficulties our staff ran into. They completed everything effectively without disrupting our work and services. TOTLCOM's professionals went out of their way to meet with us regularly during the project and still do today to make sure our expectations are always met. As a result, our IT system is much more secure than it was and we are confident that it meets HIPAA guidelines. We highly recommend that other nonprofits in the area contact TOTLCOM for all of their IT services." TODAY We continue to provide monitoring and Help-Desk Support for HPC's networking solutions. And, now they have the enterprise-class email solution they need along with network and security solutions in place to ensure their ePHI is secure and meets HIPAA compliance regulations. Why Should Your Nonprofit Consider Using Microsoft Office 365?
An Office 365 nonprofit plan will provide your team with free email and online document editing and storage. Plus with video conferencing, instant messaging, and your own Yammer site, your teams can communicate and collaborate on projects in real time. Microsoft Office 365 is the first major cloud-based productivity service to use security frameworks based on ISO 27001 standards, so it will help you meet stringent regulatory guidelines like HIPAA.
